Cancellation Policy

Single Class Cancellations

For individual class bookings, the following cancellation terms apply:

  • Cancellations made 24 hours or more before the scheduled class: Full credit to your account or refund to original payment method
  • Cancellations made between 12-24 hours before the class: 50% credit to your account
  • Cancellations made less than 12 hours before the class: No refund or credit
  • No-shows without prior cancellation: No refund or credit

Package and Membership Cancellations

For multi-class packages and memberships:

  • Cancellations within 14 days of purchase with no classes attended: Full refund
  • Cancellations after 14 days or with classes attended: Refund of unused sessions minus a 20% administrative fee
  • Monthly memberships: 30 days notice required for cancellation
  • Promotional packages: Subject to specific terms outlined at purchase

Personal Training Session Cancellations

Personal training sessions require advance notice:

  • Cancellations made 48 hours or more before the session: Full credit or reschedule
  • Cancellations made 24-48 hours before the session: 50% credit
  • Cancellations made less than 24 hours before the session: Session is forfeited
  • Emergency cancellations: Considered on a case-by-case basis

Refund Process

Refund Timeline

Approved refunds are processed according to the following timeline:

  • Refund approval: Within 3-5 business days of cancellation request
  • Processing time: 5-10 business days from approval
  • Bank processing: Additional 3-5 business days depending on your financial institution

Total refund time may take up to 20 business days from the date of your cancellation request.

Refund Method

Refunds are issued to the original payment method used for purchase:

  • Credit/debit card payments: Refunded to the original card
  • Bank transfers: Refunded to the originating account
  • Cash payments: Refunded in cash or by bank transfer

Account Credits

In some cases, we may offer account credits instead of refunds. Credits:

  • Can be used for any of our services
  • Are valid for 12 months from the date of issue
  • Are non-transferable to other individuals
  • Cannot be exchanged for cash

Studio-Initiated Cancellations

If we need to cancel a class or session, you will receive:

  • Full refund or credit to your account

  • Priority booking for future sessions

We may cancel classes due to:

  • Insufficient enrollment
  • Instructor illness or emergency
  • Facility maintenance or safety issues

Special Circumstances

Medical Reasons

If you are unable to attend due to injury or illness:

  • Provide medical documentation within 7 days
  • We will work with you to reschedule or provide appropriate credits
  • Long-term medical issues may qualify for membership freeze or extended credits

Emergency Situations

In cases of genuine emergency (family emergency, bereavement, etc.):

  • Contact us as soon as possible
  • We will consider exceptions to our standard policy
  • Documentation may be required
  • Each case is reviewed individually with compassion

Relocation

If you relocate more than 25 miles from our studio:

  • Provide proof of relocation
  • Unused package sessions may be refunded minus administrative fee
  • Memberships can be canceled with appropriate notice

Non-Refundable Items and Services

The following are non-refundable:

  • Completed sessions and classes
  • Expired package sessions or memberships
  • Special event tickets and workshops
  • Promotional or discounted packages (unless otherwise stated)
  • Administrative and processing fees
  • No-show sessions without prior cancellation

Package Expiration and Extensions

Expiration Policy

Class packages and memberships have the following expiration terms:

  • Single class packages: Valid for 3 months from purchase
  • Multi-class packages: Valid for 6 months from purchase
  • Monthly memberships: Renew automatically unless canceled
  • Promotional packages: Expiration date specified at purchase

Extensions

Package extensions may be granted in the following circumstances:

  • Medical reasons with documentation
  • Extended travel or relocation
  • Pregnancy and postpartum recovery
  • Other extenuating circumstances at management discretion

Extension requests must be made before the package expires. A small administrative fee may apply.

Membership Freeze Policy

Monthly memberships can be frozen under certain conditions:

  • Minimum freeze period: 2 weeks
  • Maximum freeze period: 3 months per year
  • Freeze fee: £10 per month
  • Notice required: 7 days before freeze start date
  • Valid reasons: Medical, travel, pregnancy, work commitments

Transfers and Substitutions

Session Transfers

Package sessions and memberships are personal and generally non-transferable. However:

  • You may transfer sessions to immediate family members with prior approval
  • A transfer fee of £5 per session may apply
  • The recipient must complete our health screening process
  • Transfers must be requested in writing

Class Substitutions

If you cannot attend your booked class:

  • You may switch to another class on the same day subject to availability
  • Advance notice is appreciated but not required for same-day switches
  • Different class types may require instructor approval

Disputes and Complaints

If you are dissatisfied with our services or have a dispute regarding refunds:
